Privacy Policy

Overview

This policy explains what StudyArc collects, how it is used, and the choices you have. We collect only what we need to respond to inquiries and provide tutoring. Because most students are under 18, a parent or guardian sets up the account and provides consent on the student's behalf.

Information we collect

Information collected automatically

When you visit the website, our hosting provider (Vercel) records basic technical information such as your IP address, browser and device type, and the pages you request. This is used to keep the site running and secure. The site does not use cookies, analytics, or advertising trackers.

How we use information

We use your information to respond to inquiries, arrange a consultation, schedule and run sessions, share progress updates with parents after each session, and communicate about the account. We do not sell personal information and do not use it for advertising.

Session transcripts and AI

Sessions are not recorded. Only with the consent of both the student and the parent or guardian, a written transcript of a session may be generated and reviewed using AI tools to help plan instruction. Transcripts are treated as session notes under this policy. If consent is not given, no transcript is created, and consent can be withdrawn at any time.

How we store information

Inquiry and client records are kept in Microsoft Excel and Google Sheets. The website inquiry form is processed by Web3Forms, and messages are delivered to a Microsoft Outlook mailbox. Sessions run on Zoom or Microsoft Teams. We limit access to the founders.

Sharing

We share information only with the service providers needed to operate — currently Google, Microsoft, Zoom, Vercel, and Web3Forms — and only as needed for them to perform their function. We may also disclose information if required by law or to protect the rights and safety of StudyArc and the people it serves.

If StudyArc is ever sold, merged, or reorganized, client records may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

Security

We use reasonable measures to protect your information and limit access to the founders. No method of transmitting or storing data is completely secure, so we cannot guarantee absolute security, but we work to keep your information safe.

Links to other websites

Our site and materials link to other websites, such as the College Board. We are not responsible for the content or privacy practices of sites we do not operate, and we encourage you to read their policies.

Data retention

We keep student and family records for up to one year after tutoring ends, after which they are deleted. You may request deletion of your information sooner at any time.

Children's privacy

Services are arranged by a parent or guardian for a student, many of whom are minors. We rely on the parent or guardian to consent to the student's participation, to the information shared with us, and to any session transcript described above.

Our services are not directed to children under 13, and we do not knowingly collect information from a child under 13. If you believe we have, contact us and we will delete it.

Your choices

You can ask us to access, correct, or delete your personal information, withdraw consent for transcripts, or stop contacting you by emailing studyarcco@outlook.com.

Changes to this policy

We may update this policy from time to time. Material changes are reflected by updating the date above.
